Getting started

  • Go to the web version, sign up, verify your email and you are ready to go! To download our app go to Apple or Play Store and search for The Heating App

  • No but the more you do, the more benefit you will get from our App

  • Yes you can edit all emails and add attachments such as your terms and conditions.

  • No, but we would strongly recommend you do. There is no cost to do this and it will make getting paid really easy

  • Yes you can from a CSV file. You will need to be on the web version. Goto Contact and you will see top left an import button. Follow the instructions. If you would like us to do this for you get in contact. Stove Industry Supplies will be pleased to help.

General

  • Simple: we’ve made it really easy to learn and use. It will save you time & money. You’ll spend less time on paperwork & more time doing the things you really love. It’s totally risk-free so you’ve got nothing to lose by giving it a go today!

  • It is designed exclusively for heating engineers. Extensive house and room records. Digital certificates sent straight to your customer. Text appointment reminders as well as a service reminder.

  • Yes. If you have no mobile signal and are using the app everything you do will be stored locally and when you get a decent signal it will be downloaded and shared across all devices

  • At the moment only in the UK, Ireland will be next with other countries to follow.

Invoicing

  • Yes. The system will either take payment at the end of the month if your customer has signed up to Go Cardless or it will send them a statement

  • You can select from various styles and colours, enter your logo in the setup and it will appear on the invoice

  • Yes, you can void an invoice and it will not appear in your sales figures

  • Yes. Save as a Draft, it will not be sent to your customer until you are ready

  • Yes, the invoice will queue on your phone and automatically download when you get a decent signal

Appointments

  • Tap + on the home screen, tap in the calendar or when in your customer record add from there

  • Yes, if a customer cancels or you just need to delete an appointment for any reason. This permanently deletes the appointment so you will not be able to refer back to it

  • Use the search facility, searching by house name, postcode or customer name.

  • They get a welcome when you enter them in the system. An email confirming an appointment and then a reminder just before your visit. You can turn these off for individual customers and adjust when reminders are sent (72,48 or 24 hours before) in your business settings. All email content is editable by you. You can even add your T&C’s to the bottom of emails

  • Yes a 24 hour appointment reminder, you can turn these off for specific customers. This is why it is important the enter your customers mobile numbers. If you have entered the servicing frequency you customer will get a text 2 month before a service is due in no appointment has already been made.

  • Yes and you can add a note so you know what the appointment is for. The appointment will be coloured purple for easy identification

  • Yes, the customer will not be notified of this appointment until you change to a ‘customer appointment’. You can reschedule this as many times as you like without your customer knowing. Tentative appointments are coloured yellow.

Subscriptions

  • Try the App for a month, risk free! All it takes is your email address and some basic information and you’re on your way. We will not ask for any payment details until you want to subscribe. Any data you entered during your trial period will automatically transfer when you subscribe

  • You get full access to everything for a month. You will experience how the App helps you manage your business.

  • We’ll give you a heads up before your trial is over. At that point, you can upgrade to a paid plan, add your billing info, and continue making your life easy. If you do nothing after your free period ends you will not be charged

  • Yes. If you have paid for a year we do not make a refund for days not used. If you stop your subscription you will have 7 days to export any data you want to keep

  • Your subscription is monthly, which you can leave anytime you like, without penalty. There is also a reduced price annual subscription, pay annually and receive your 12th month free!

  • It’s your data, download anytime

  • Single user includes:

    1. One primary user with calendar and full access

    2. Office manager with no separate calendar

    3. Book-keeper access to sales invoices, purchases and expenses

    Multi User includes:

    1. If you have more than one van, this is for you

    2. Each user has their own calendar

    3. There is an extra charge for each user per month

Getting paid

  • Encourage your customer to sign up to GoCardless. When you invoice it’s just one button and the money will be credited to your account. Customers love it!

  • For Direct Debit / ACH / SEPA payments:

    UK – GoCardless charge 1% up to a maximum of £2.

    US – Stripe charge 0.8% up to a maximum of $5

    Europe - GoCardless charge 1% up to a maximum of £2

    Australia - To be announced

    For Credit and Debit cards we use Stripe:

    UK - 1.4% +0.20p no monthly charges

    US - 2.9% +0.20p still to be confirmed

    Europe - 1.4% + 0.20p no monthly charges

  • If you have completed this part of the setup you can use Stripe. Great for new customers and there is no monthly charge

  • You can take payment in any way you choose. This is then recorded, making it easy for your bookkeeper

Forms & Certificates

  • They are certificates you can email to your customers, for example a sweeping certificate. You can build your own form in the customer form builder or select one of our templates in the web version. Once created and "published" to your app you can fill them in for easy, one-click sending to your customer

  • Your details, your customer details and the house and room details will automatically be filled in. You can have text boxes, drawings that you can draw on, import images and lots more

  • From the appointment click ‘+ Form’ under the room name. Press + and you will see a list of all forms that you have “published”. Select one, fill it in and press save. This will save the completed form in the room record and mail it to your customer

  • Yes. Save as a draft and you can come back to it when you have a bit more time

Purchases

  • Take a photo of the receipt and complete the details asked for. You can still record the details if you don’t want to photo the receipt or just import a file

  • Yes, you will be able to run a VAT/Tax report by date

  • If you are registered and have entered the tax rate in your settings, you will be able to run a VAT / Sales Tax, report for your quarterly, annual returns

Financial reports

  • There are lots of reports - Sales, Purchases, Service charges, VAT/Tax (if registered), quarterly accounts, appliances that need a service, and lots more.

  • Yes, you can setup your bookkeeper at no cost as a user and they will be able to access all of the figures they require (assuming you have inputted them in the first place).

Security

  • Our apps and services are hosted on secure servers with 99.999% uptime & 24/7 technical support.

    Our servers and data are secured using industry standard tools and Firewall Protection and Standard DDoS Attack Protection.

    Our servers are backed up daily at remote locations to prevent data loss and also with one-click restore options in case of unforeseen situations.

    We will never share your details with any third party

Contacts

  • No but they will not receive appointment reminders or invoices

  • The only required fields are name, phone number and the postcode or zip code of their address. The more you can enter the better

  • A Householder has primarily their own address but they can also have other houses that they own. A Management company looks after houses owned by others.

  • Yes either the management company or the house owner can be invoiced/pay

  • Yes. Go to the contacts record and change the name. You need to make sure the previous owner does not have any other houses.

  • Images, video links, customer reports, history, notes, all appointments in the past or future, documents and contacts for this house eg insurance company

  • Deleting permanently deletes the house. Archiving removes the house from the customer record but it can be retrieved by pressing the green down arrow in the address records. Any house with a future or past appointment that has not been invoiced can’t be deleted or archived

Calendar

  • Under the date you will see a + enter a location

  • Bright green: invoiced appointments

    Blue: a normal customer appointment,.

    Yellow: Tentative where your customer is not informed until you convert to a Customer appointment

    Aqua blue: Service appointment

    Green: Installation

    Light green
